  • Clients is on Pro and Studio. Pro has the full CRM: photo profiles, dates, partners and households, tasks, lead sources, referrals, saved views, the board and CSV import and export. Studio adds the inquiries, booking, quotes, contracts and invoices that feed each client's lifetime value and what they owe.

  • It's everything you've invoiced a client that's been sent, part-paid or paid, so drafts don't count. Collected and owed sit beside it. A referrer is credited with the lifetime value of everyone they sent you, and lead sources add up the same way, so you can see which ones bring in the work that pays.

  • Birthdays, plus any date you add to a person: anniversaries, wedding days, a child's birthday, a due date or your own. Yearly dates come round every year and say which one it is, like a 5th anniversary. The overview lists the next 30 days, adds a year since each client's first session, and keeps a re-book list of past clients 10 to 26 months out with nothing booked.

  • Yes. Import a CSV from any CRM or spreadsheet, match its columns to GearDex fields, and the import flags anyone who's already in your clients before it adds them. If GearDex later spots two records that look like the same person, it asks whether to merge them. You can export your list as a CSV at any time.

  • Link two people as partners and the link shows on both profiles. Anyone can also be on a job with a role, such as partner, planner, venue or vendor, and people can belong to a company. Each person keeps their own email, phone and dates.

  • Avatars, covers and profile photos are resized to WebP in your browser before upload and stored privately. They're shown through short-lived links to you and your team, never on a public URL.
