Catalog a new item

Record the details you would need if the gear were out of reach and you had to identify it from your records.

  1. 1.Open Gear Library and choose the item type that matches your equipment.
  2. 2.Add the model and serial number first. Those details are the hardest to recover after a loss.
  3. 3.Save a clear photo, then record the purchase information, location, value, and condition.

Prepare an insurance record

Keep proof of ownership beside the item so you are not searching old email during a claim.

  1. 1.Photograph the item and its serial plate.
  2. 2.Upload the receipt, warranty, or appraisal in Documents and link it to the item.
  3. 3.Review the purchase price and current value. Pro and Studio members can create an insurance PDF from Reports.

Import or back up your inventory

Move an existing spreadsheet into GearDex or download a copy of your records for safekeeping.

  1. 1.Go to Settings, then Data & Privacy.
  2. 2.For an import, download the template for the right gear type and keep its column headers unchanged.
  3. 3.Review any rejected rows before you finish the import. Use Export All Gear when you need a spreadsheet backup.

Build a shoot plan

Put the schedule, locations, gear, and working notes in one place before the day gets busy.

  1. 1.Create a shoot and set its date, time, and location.
  2. 2.Add the gear you expect to pack, then work through the checklist and timing tools that fit the job.
  3. 3.Keep permits, releases, moodboards, and call sheet details with the shoot instead of scattering them across messages.

Inventory

  • Record brand, model, serial number, a photo, purchase date, price, current value, condition, and location. Attach the receipt or appraisal too; together they make an insurance-ready record.

  • Gear photos support JPEG, PNG, or WebP up to 5 MB. Find Image can also search the web for a product photo once an item has a brand and model.

  • Yes. Import cameras, lenses, accessories, filters, and drones from CSV in Settings → Data & Privacy using a GearDex template.

  • Yes. Download a full JSON account snapshot or CSV gear tables from Settings → Data & Privacy, on every plan.

Plans and account

  • Starter supports 25 items and 3 shoot plans. Pro costs $4/month or $39/year. Studio costs $19/month or $179/year and adds team tools. The pricing page compares every limit.

  • Reset a forgotten password from the sign-in screen, or review your security settings in Settings once you're signed in.

  • Manage payment methods, invoices, and cancellation from Settings → Billing. Export a backup first if you plan to downgrade.

  • Inventory, support cases, and attachments are account scoped. Public showcases expose only the items you select, and Studio permissions control what collaborators can see.

Troubleshooting

  • Clear Gear Library search and filters, check that you're browsing the right gear type or category, and confirm you're in the right Studio workspace. Then reload after saving.

  • Check that the file is JPEG, PNG, or WebP and under 5 MB, then check your connection and browser. Unusual file metadata can also block an upload.

  • Include the task, what happened, how often it happens, the exact error, and your browser. Screenshots help, and support files can be up to 10 MB.
