Billing, Subscription & Refund Policy
How plans, renewals, cancellations, and refunds work in GearDex.
This Billing, Subscription & Refund Policy explains how subscriptions work for GearDex, including how we bill you, how renewals and cancellations work, and when refunds may be available.
The goal is to make billing behavior match what you see in the app on the Pricing and Settings → Billing screens: simple monthly plans, easy cancellation, and clear expectations.
- Starter: free tier with limited features and item limits, ideal for hobbyists and testing GearDex.
- Pro: paid subscription offered at US$4/month or US$39/year, built for working photographers.
- Studio: paid subscription, currently advertised at US$19/month or US$179/year, for studios and teams that need loans, maintenance and collaboration.
Current pricing and included features are shown on the pricing page at geardex.app and may change over time. Any changes for existing subscribers will be communicated in advance where required.
As of the date of this policy, GearDex does not offer a free trial on paid plans. You can use the free Starter tier for as long as you like and upgrade when you are ready.
If we introduce any free trial or promotional period in the future, the exact length and conditions will be shown at signup and reflected in the Billing section of the app.
- Paid subscriptions renew automatically at the end of each monthly billing period until you cancel.
- The recurring amount, billing frequency, and next renewal date are displayed during checkout and in your in-app Billing view (Settings → Billing & Subscription).
- Stripe sends email receipts and may send renewal-related notifications to the email address on your account.
By subscribing, you authorize us (via Stripe) to charge your payment method each billing period until you cancel.
You can cancel your paid subscription at any time from within the app by visiting Settings → Billing & Subscription and either:
- Opening the Stripe billing portal and using the built-in cancellation controls, or
- Using any in-app “Cancel subscription” option, where provided, which will schedule cancellation at period end.
Unless specifically stated otherwise at the time of cancellation, cancellations take effect at the end of the current billing period. You will retain access to your paid plan until that date, after which your account will normally be downgraded to the Starter tier.
We want GearDex to be genuinely useful for you. We may offer a time-limited money-back guarantee (for example, a 30-day guarantee) as described on the pricing and marketing pages. Where such a guarantee is offered:
- You must contact us at geardex.help@gmail.com within the stated guarantee window (e.g., 30 days from your initial payment) to request a refund.
- Refunds are typically issued for the most recent billing period and do not apply retroactively to older periods.
- We may decline refund requests in cases of abuse, excessive refund requests, or clear misuse of the Service.
Outside any advertised guarantee window, all subscription fees are generally non-refundable once a billing period has begun, except where required by law.
- You may upgrade from a lower tier to a higher tier at any time. Depending on Stripe's proration settings, you may be charged a prorated amount for the remainder of the billing period or the change may take effect at the next billing cycle.
- Downgrading from a higher tier to a lower tier may reduce or remove access to certain features (such as maintenance, loans, or advanced analytics) and may enforce lower limits (for example, item counts).
- We generally retain your underlying data after a downgrade, but you may not be able to use or add additional data beyond the limits of your new plan unless you upgrade again.
Subscription fees may be subject to taxes, such as sales or value-added tax, depending on your location and applicable law. Where required, taxes will be calculated and displayed during checkout and on your invoices.
If a payment attempt fails (for example, due to an expired card or insufficient funds), Stripe may retry the charge. If payment remains unpaid after Stripe's retry logic:
- Your subscription may enter a “past due” status with a 14-day grace period measured from the failed billing attempt.
- If the subscription remains unpaid after that grace period, your account may be downgraded or access to paid features may be suspended until payment is resolved.
For California residents, the following additional information is provided to comply with California's Automatic Renewal Law:
- The terms of your subscription, including renewal frequency and charges, will be presented clearly at checkout.
- Your subscription will continue until you cancel, and your payment method will be charged at the start of each billing cycle.
- You can cancel online at any time by visiting Settings → Billing & Subscription and using the cancellation options described above.
- Any free trial or promotional pricing and what happens at the end of that period will be clearly disclosed during signup.
