What is camera gear QR code tracking?

Camera gear QR code tracking means every item carries a printed code that links to its record. Scanning it with a phone pulls up the item, its serial number and status, and who has it. In GearDex the same scan also checks gear out to a borrower, checks it back in, or raises a flag.

Nobody wants to read a serial off a lens barrel at 6 a.m.

On set and in the gear room, typing is the slow part. Searching for “the second FX3” or squinting at a serial number turns a five-minute check-out into fifteen.

Labels from a label maker tell two bodies apart, but they can't say who has the gear or whether it came back damaged.

GearDex labels link to the record. Scan one and you're looking at the item, its status, and the next thing to do with it.

A sheet of labels, one item per cell.

Pick items and kits, or add a whole kit or location at once, and GearDex lays them out on Avery 5160, 5163, or 22806 with a different item in every cell. Start at any label to use up a half-printed sheet.

  • Kit labels open the kit, item labels open the item
  • Labels you've already printed keep scanning
  • Single labels on every plan, sheets on Pro

Check-in is just scanning.

Switch Scan to Check in and every label you read goes back into the library, credited to the right loan. Each row keeps an Undo for a few seconds, so a mis-scan costs nothing.

  • Each scan returns the item to its loan
  • 5-second Undo on every return
  • The rest of the loan stays open until it's back

QR scanning is included on the free plan.

Flag it where you find it.

A cracked filter or a sticky zoom ring gets a flag from the scan sheet, the gear page, a check-in, or a wrap check. Pick what's wrong, add a note or a photo, and take it out of circulation so nobody books it until it's fixed.

  • Needs repair, Damaged, Missing, Sensor dust, Needs cleaning, Battery worn
  • Send to service opens a maintenance record
  • Resolving the flag puts the gear back

  • No. Scan runs in the browser on your phone and uses its camera. A USB or Bluetooth barcode scanner that types like a keyboard works too.

  • Avery 5160 (1″ × 2⅝″), 5163 (2″ × 4″), and 22806 (2″ × 2″). Each cell can hold a different item or kit, and you can start at any label on the sheet.

  • Single labels and scanning to look gear up are free on every plan. Label sheets and scanning to check out, check in, and flag are part of Pro.
